JOB DESCRIPTION & SPECIFICATION

 

JOB Title: Accounting Assistant

GRADE: 2

DEPARTMENT: Administrative Department

REPORTS TO:  Branch Manager

NUMBER OF REPORTING POSITIONS: N/A

GEOGRAPHIC LOCATION: Grenada

 

JOB SUMMARY

 

Manages and administers the accounting functions within the Branch

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  1. Processes all non-policy related disbursements issued by the Branch i.e., salaries, external commissions, payments for vendors, statutory bodies, refunds, and mortgage disbursements.
  2. Reconciles vendor accounts to ensure that the correct invoices amounts are being paid.
  3. Reconciles Petty Cash.
  4. Prepares cheque requisition, weekly disbursements and corresponding reports for Head Office.
  5. Receives, codes, reconcile and forward bank statements to Head Office.
  6. Process returned cheques and prepare letters to clients.
  7. Submits monthly compliance reports on the statutory payments made by the branch to Head Office.
  8. Files annual returns with statutory bodies.
  9. Prepares monthly departmental reports and provides feedback to management.
  10. Assist with reconciliation and uploading of cash as requested.
  11. Provides timely and accurate information for incoming queries including those from clients, agents, and head office regarding payments.
  12. Conducts research for suspense amounts and stale dated cheques and takes necessary action in relation to same.
  13. Maintains existing vendor files.
  14. Keep inventory of office furniture and fixtures.
  15. Conducts filing on a weekly basis.
  16. Contributes to the attainment of team service standards and specified service metrics.
  17. Maintains the confidentiality of sensitive documents, records, discussions and other information generated in connection with any assistance activities.
  18. Performs any other duties as assigned.

COMPENSABLE FACTORS

 

KNOWLEDGE & SKILLS REQUIRED

 

EDUCATION/EXPERIENCE:

  • Minimum of an Associate’s degree in a related discipline.
  • Excellent verbal and written communication skills along with computer literacy are necessary.
  • Good organizational skills
  • Knowledge of customer service practices and principles.
  • Knowledge of insurance and investment services fundamentals.
  • Ability to handle stressful situations appropriately.
  • Must be proficient in the use of Microsoft office software.
  • A minimum of one year’s experience in a customer service environment is essential.
  • Ability to remain focused on customer queries for multiple consecutive hours with minimal walking around.
  • Requires the ability to organise and manage multiple priorities.
  • Previous experience within a financial services environment would be an asset
