JOB Title: Accounting Assistant
GRADE: 2
DEPARTMENT: Administrative Department
REPORTS TO: Branch Manager
NUMBER OF REPORTING POSITIONS: N/A
GEOGRAPHIC LOCATION: Grenada
JOB SUMMARY
Manages and administers the accounting functions within the Branch
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Processes all non-policy related disbursements issued by the Branch i.e., salaries, external commissions, payments for vendors, statutory bodies, refunds, and mortgage disbursements.
- Reconciles vendor accounts to ensure that the correct invoices amounts are being paid.
- Reconciles Petty Cash.
- Prepares cheque requisition, weekly disbursements and corresponding reports for Head Office.
- Receives, codes, reconcile and forward bank statements to Head Office.
- Process returned cheques and prepare letters to clients.
- Submits monthly compliance reports on the statutory payments made by the branch to Head Office.
- Files annual returns with statutory bodies.
- Prepares monthly departmental reports and provides feedback to management.
- Assist with reconciliation and uploading of cash as requested.
- Provides timely and accurate information for incoming queries including those from clients, agents, and head office regarding payments.
- Conducts research for suspense amounts and stale dated cheques and takes necessary action in relation to same.
- Maintains existing vendor files.
- Keep inventory of office furniture and fixtures.
- Conducts filing on a weekly basis.
- Contributes to the attainment of team service standards and specified service metrics.
- Maintains the confidentiality of sensitive documents, records, discussions and other information generated in connection with any assistance activities.
- Performs any other duties as assigned.

KNOWLEDGE & SKILLS REQUIRED
EDUCATION/EXPERIENCE:
- Minimum of an Associate’s degree in a related discipline.
- Excellent verbal and written communication skills along with computer literacy are necessary.
- Good organizational skills
- Knowledge of customer service practices and principles.
- Knowledge of insurance and investment services fundamentals.
- Ability to handle stressful situations appropriately.
- Must be proficient in the use of Microsoft office software.
- A minimum of one year’s experience in a customer service environment is essential.
- Ability to remain focused on customer queries for multiple consecutive hours with minimal walking around.
- Requires the ability to organise and manage multiple priorities.
- Previous experience within a financial services environment would be an asset
