About the opportunity
This role provides high level administrative support to the Independent Review Division which is made up of two teams:
- Internal Review Unit (IRU) – provides employees, employers, duty holders and relevant parties with an option to make a request to review Inspector decisions, licence decisions and Infringement Notices under under the Occupational Health & Safety Act 2004 and relevant forms of Victorian workplace legislation.
- Workers Compensation Independent Review Services (WCIRS) – allows injured workers an opportunity to request an impartial review of certain disputed 'reviewable decisions' under the relevant Victorian compensation law that haven't been resolved during the conciliation process where particular timeframes and criteria are met.
As the Administration officer you will be the first point of contact for people seeking information about these separate review processes, playing a key role in helping the division deliver efficient, transparent and professional services.
Key accountabilities

Provide high level administration support, within set processes, policies and procedures, to ensure IRU and WCIRS operates efficiently and effectively. These duties include:
- monitor and respond to IRU and WCIRS inboxes
- answer IRU and WCIRS phone lines
- receipt and processing of applications
- creation and production of files
- generation of email correspondence which is clear, accurate, concise and to strict timeframes
- manage and accurately maintain relevant information in registers/databases on a daily basis

Support the Independent Review Services Division to develop, implement and maintain effective and efficient internal processes and procedures

Support the teams in the conduct of reviews in a timely and professional manner with guidance of Divisional Business Coordinator including gathering and collating relevant information

Provide assistance, information and procedural advice to applicants and relevant stakeholders (Workers, Agents, Inspectors, Legal Representatives, Employers, Employees, Union Officers & HSRs, etc) with regards to requests to ‘Review a Decision’

Assist the Divisional Business Coordinator as required

Create and capture accurate and complete records of the business activities related to this position

About you
You are highly organised, detail orientated and thrive in a busy, fast-paced environment, confidently supporting a high-performing team while managing competing priorities and tight deadlines.
You will also possess:
- Strong interpersonal and communication skills (written and verbal)
- Excellent time management skills with the ability to prioritise workloads whilst maintaining a high attention to detail
- Proven administration experience in a stakeholder-focused environment
- Confident using Microsoft Office (Word, Excel, Outlook, OneNote, Teams, PowerPoint)
- Flexibility and adaptability to manage a broad range of tasks and respond to changing priorities in a dynamic work environment
- Knowledge of WorkSafe’s legislative framework (desirable)
- Qualifications or equivalent experience in administration or related field (desirable)
