Position Summary
Under supervision, the Breast Imaging Specialist provides follow-up for the Women's Imaging practice for all recall examinations and breast biopsy procedures. Schedules breast biopsy procedures and recall patient appointments. This position provides information to patients in a professional, accurate, caring, and sensitive manner. Tracks priors comparison addendums. Assists with preparation of all necessary credentialing records, follow-up records and medical audit for annual mammography inspection. Accurately tracks and enters all data into recall spreadsheet, Epic Breast Care Summary and Epic Breast Imaging dashboard.
Job Responsibilities
- Responsible for accurately tracking all Women’s Imaging patients that require recall examinations and breast biopsy procedures. Maintains current knowledge of mammography, breast ultrasound, biopsy procedures and practice protocols.
- Serves as the main point of contact for all recall breast imaging exams and breast biopsy procedures. Explains procedures and schedules all patients recommended for breast biopsies via Epic.
- Contacts referring physicians, as needed, for prescriptions and to confirm receipt of patient results. Ensures that all required medical information and paperwork is completed prior to procedures.
- Contacts and schedules a large volume of patients for recall examinations. Maintains and distributes a rolling recall spreadsheet that is submitted to leadership staff on a weekly basis.
- Accurately tracks and enters all data into Epic Breast Care Summary and Epic Breast Imaging dashboard.
- Provides information to patients in a professional, caring, and sensitive manner regarding what to expect before, during and after procedures. Ensure the highest standards of customer service is provided to our Women’s Imaging patients.
- Works independently and in collaboration with breast radiologists and the breast consult team to ensure all patient inquiries are addressed.
- Performs a thorough examination of the Women’s Imaging schedule through clinical and priors review. Ensures recall, Bi-Rads 3 and biopsy procedures are scheduled correctly.
- Accurate and detailed reporting is made to ensure timely communication. Tracks the timely completion of priors comparison addendums by breast radiologists.
- Reviews and sends lay letters to all Women’s Imaging patients.
- Assists patients with obtaining prior Women’s Imaging reports and images performed at outside facilities. Uploads images into Ambra and notifies the medical records team to push images into PACS.
- Ensures FDA regulations are met within a timely manner - Unresolved Letter issues (30-day requirement) and Missing Pathology (impacts MQSA Inspection).
- Maintains up to date knowledge of CPT/ICD-10 codes and provides CPT/ICD-10 codes to patients and referring physicians' offices, as needed. Answers basic insurance questions related to mammography.
- Routes complex insurance questions to our Insurance and Financial Clearance team.
- Assists with preparation of all necessary credentialing records, follow-up records and medical audit for our annual Mammography Quality Standards Act (MQSA) inspection.
- Extrapolates data regarding breast biopsy and recall patients as requested by the breast radiologists and leadership team.
- Maintains confidentiality of patient files in accordance with HIPAA requirements.
- Complies with Weill Cornell Office of Billing Compliance for billing and research billing compliance audits, etc.
- Performs other job duties as required.
Education
- High School Diploma
Experience
Minimum Requirements:
- High School Diploma
- At least 2-3 years’ experience with patient contact/clinical care.
Highly Desired Requirements:

BA/BS Degree or related work experience in lieu of Degree.

Knowledge of mammography procedures and breast imaging guidelines preferred.

- Must be able to interact with radiologists and referring physicians.

- Demonstrated proficiency with Microsoft Office Suite and comfortable learning new computer software.
