Would you like to be part of our specialist services group, who have been providing engineering support to space agencies and prime contractors for more than 40 years?
For our customer, the European Space Agency (ESA), we are seeking an experienced Configuration and Documentation Management Assistant to work at ESA’s ESTEC site in Noordwijk, The Netherlands.
You will be integrated into the customer to provide a service supporting the various departments of the Directorate of Technical and Quality Management (TEC) in configuration and documentation management. This includes the management, as well as improvement, of the processes related to the use of electronic documentation and configuration systems, management tools (e.g. for action tracking) and reviews organization.
In this you will communicate and interact with TEC Management and TEC Staff, as well with the ESA Contracts, Product Assurance (PA) & Safety teams and Project Controllers when required, as well as with third party providers of other services.
The position wil include tasks such as:

Provide configuration and documentation management support in relation to the following:
-
All space missions implemented in the TEC Directorate, with particular focus on in-orbit validation/ demonstration missions.

All documentation produced by R&D activities undertaken within the TEC Directorate.

Support the definition, harmonization, and implementation of configuration and documentation management processes e.g. creating procedures and work instructions, provision of trainings.

Support the definition, set-up, and correct use of Configuration and Documentation Management tools e.g. SharePoint.
-
Implement the documentation management processes for TEC projects e.g. setup and support reviews, process deliverable documents from industrial suppliers and other stakeholders, manage document management systems.
This is a full-time position located at ESTEC, Noordwijk, The Netherlands.
The forseen start of the service is January 2027
How to succeed in this position?
The successful candidate shall have:
-
A bachelor’s degree in business administration or equivalent.
-
At least 10 years relevant professional working experience including proven experience in Configuration Management in space companies or organizations.

Good knowledge of configuration control procedures and processing of associated documentation:
-
- Configuration items identification, technical requirements baselining, production and maintenance of Configuration Item Data List (CIDL).
- Management of configuration evolution, baselines verification, As-Built control, and inspections.
- Documenting, implementing, and maintaining the approval system for all documents under formal ESA control, and maintaining the associated Document Requirement List (DRLs) and Document Requirements Definitions (DRDs).
- Creation of procedures and work instructions related to Configuration and Documentation Management.

Familiarity with project review processes such as data-pack delivery processing, setup of documentation for technical reviewers, monitoring and processes status of Review Item Discrepancies (RIDs).

Adequate knowledge and understanding of the applicable ESA Configuration Management requirements and standards such as MS-ESA-RQ-100, MS-ESA-RQ-108, ECSS-M40.

Highly proficient in the use of standard office automation support software packages (MS- Office) including in particular advanced usage of Excel.
Desirable:
-
Good knowledge of document management system and similar IT tools are an asset e.g. ECLIPSE, SharePoint, etc.

Ability to rapidly understand and adapt to ESA specific context and environment including use of ESA corporate IT applications. Experience with ESA in relevant activities is an asset.

Prior experience with preparing and performing training on configuration and documentation management topics to junior colleagues as well as other interfaces would be an asset.
Soft skills:
- Service orientation and ability to liaise with other domains (technical, quality/product assurance, management, etc.).
- Excellent communication and teamwork abilities.
- Good English language skills, written and spoken. Knowledge of another official ESA language is an asset.
Note: Candidates must be eligible for Personal Security Clearance from an EU country.
