About the role

Information Management Coordinator (Records Management) – Ongoing, Full-time

Band 5 ($77,132 to 98,069) 

 

Westernport Water is seeking a self-driven professional to provide support to the organisation by overseeing the Corporation’s information management and recordkeeping activities. The role coordinates the day-to-day operation, maintenance, and improvement of systems, frameworks, and controls, ensuring compliance with legislative and organisational requirements, while working autonomously within set priorities and direction.

 

This role would be suited to someone with a background in records or information management, compliance, library or archival services, or ICT service delivery, who thrives in a structured, regulated environment and enjoys enabling good information practices across an organisation. Key Responsibility Areas

  • Coordinate and oversee the organisation’s corporate information management platforms, including the EDRMS, Microsoft Teams, SharePoint, file systems and network drives, acting as the primary operational contact with ICT and external vendors.
  • Develop, implement and maintain information and records management policies, standards, and governance frameworks, ensuring compliance with legislative, regulatory, privacy and data protection requirements.
  • Provide specialist advice, guidance and role‑based training to staff and system owners on information management, records compliance, privacy and lifecycle management across corporate systems.
  • Lead information management assurance and improvement activities, including audits, maturity assessments, performance reporting, risk monitoring, and support for the annual VPDSS attestation process.
  • Manage physical and secondary storage arrangements and specialised governance functions, including archives, secure disposal, administration of bank guarantees, and representation in relevant industry and professional forums.

 

Qualifications and Experience

  • Tertiary qualification in Business, Finance, Information Management, or a related discipline, or substantial experience in records and information management.
  • Experience administering or supporting electronic documents in Microsoft 365 and records management systems (EDRMS), with experience using TRIM or OpenText Content Manager highly desirable.
  • Ability to develop and implement policies, strategies, standards, and procedures that support effective corporate information governance and lifecycle management.
  • Ability to engage with diverse stakeholders, provide specialist advice, and embed improved information management practices across an organisation.
  • Experience within a within the public sector or another highly regulated environment is highly desirable.
  • A current driver’s licence suitable for Victoria.
