JOB SUMMARY

The role is responsible for managing and delivering comprehensive Systems Project Documentation in alignment with SPX Flow internal workflows and applicable regulatory standards. As part of the Project Execution Team, the employee gathers, reviews, and compiles all required technical documentation to create a complete Technical File, including the end client’s documentation package.

The position requires a solid understanding of the Machinery Directive and other relevant international standards, with accountability for verifying that all collected documentation meets both regulatory and customer-specific requirements. The employee maintains and updates documentation review checklists to support accurate approval and release processes.

This role ensures that all documentation deliverables are accurate, complete, and audit-ready by consistently applying established documentation standards, governance practices, and quality controls. It also involves maintaining effective planning and time tracking to keep projects on schedule and within budget. The employee demonstrates full ownership of assigned documentation projects, proactively coordinating with stakeholders, aligning across teams, and ensuring successful execution from documentation collection through final delivery. 

PRINCIPAL DUTIES AND RESPONSIBILITIES

 Prepare for and attend required project meetings and manager catchup meetings

 Collect and compile complete project documentation using the In-Process Documentation Checklist in line with SPX Flow processes, customer requirements, and Technical File regulatory standards

 Collaborate with Supply Chain, Engineers, and other stakeholders to gather required documentation to ensure compliance

 Check the delivered technical documentation against Project Item-List and cooperate closely with Project Engineers and the Regulatory Advisor to ensure the content and form of the technical documentation corresponds to the project and regulatory requirements

 Ensure all documentation is accurate, complete, and audit-ready

 Prepare final customer documentation packages, including printed copies when required, ensuring timely and compliant delivery

 Communicate progress, updates, and risks clearly, while coordinating effectively across the project team 

 Monitor workload and timelines, proactively addressing risks to meet schedules and budgets. Escalate risks and delays to Manager 

 Keep resource tracking tool (Workload Planner), maintained and updated, including progress, status, hours, deadlines and project comments

KNOWLEDGE, SKILLS & ABILITIES

Knowledge & Skills 

 Proficient in English (minimum B level or higher), with the ability to clearly and appropriately communicate in an international and multicultural environment

 Working knowledge of Microsoft Office tools (Word, Excel, SharePoint, Outlook) for documentation preparation, tracking, and reporting

 Basic understanding of the European Machinery Directive and other applicable international standards related to technical documentation and compliance

 Familiarity with general documentation processes, lifecycle management, and structured file governance practices 

 Ability to plan, organize, and track work effectively, including maintaining accurate time and progress reporting against project schedules and budgets

EDUCATION AND EXPERIENCE Required 

 Bachelor’s degree from four-year college Preferred, but Not Required

 2+ years of experience in machinery manufacturing, engineering, or food industry environments with a focus on project documentation

 Experience with technical files, documentation management systems, or compliance-driven documentation

 Familiarity with Machinery Directive, CE marking, or similar regulatory frameworks

 Exposure to project execution in cross-functional, international teams
