This critical role provides comprehensive, C-suite-level support to the Chief Growth Officer and Chief Operating Officer Americas, enabling high-level performance and impact across a global organization. You will act as a strategic partner and gatekeeper, triaging requests and managing complex operations to ensure the executives remain focused on the most critical business tasks. This position is ideal for a resilient professional who thrives in a fast-paced environment with shifting priorities and possesses the sound judgment required for handling highly sensitive information. Your primary objective is to maximize executive effectiveness through expert calendar management, high-impact communications, and seamless global logistics.
Responsibilities
- Executive Coordination: Manages complex, frequently changing executive calendars and anticipates scheduling conflicts while ensuring the executives are properly briefed and prepared for all meetings.
- High-Impact Communication: Leads the preparation and formatting of executive-level presentations (Google Slides/PowerPoint) and board materials, ensuring all correspondence maintains a professional and brand-aligned tone.
- Global Logistics Management: Arranges intricate domestic and international travel itineraries, prepares detailed travel briefs, and coordinates high-profile leadership meetings, town halls, and offsites.
- Strategic Project Support: Supports the execution of executive projects and strategic initiatives by developing task lists, project timelines, and trackers to maintain organizational flow.
- Workflow Optimization: Proactively identifies opportunities to improve internal processes and information flow, while maintaining rigorous digital and physical filing systems for easy document retrieval.
- Financial & Administrative Triage: Processes expenses, invoices, and reimbursements via SAP Concur and serves as the primary point of contact for internal stakeholders and external partners.
Required Qualifications
- High School Diploma or GED
- 10+ years of executive administrative experience, with significant experience supporting C-suite executives at large, matrixed organizations.
- Advanced proficiency in Google Workspace (Gmail, Calendar, Slides, Docs) and Microsoft Office, along with the ability to use AI tools for daily personal productivity.
- Demonstrated experience managing complex domestic/international travel and utilizing SAP Concur for travel and expense management.
Preferred Qualifications
- 15+ years of experience
- Previous experience in the Consumer Packaged Goods (CPG) industry or a similarly dynamic, fast-paced sector.
- High degree of discretion, sound judgment, and exceptional organizational and interpersonal skills.
- Proven ability to collaborate effectively with other executive assistants to maximize broader executive productivity.
- Resilience and adaptability when facing ambiguity and high expectations, maintaining a calm demeanor under pressure.
- Willingness to occasionally work outside standard business hours to support global time zones or urgent requests.
- Proven ability to operate effectively in a complex, global organization and juggle shifting priorities in a high-performance environment.
Compensation and Benefits
Salary Range $95,000.00 - $125,000.00 USD
Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.
