Job description
Executive Assistant provides high quality and comprehensive secretarial and administrative services to CEO and MSS Mgmt including coodinating the schedule with VIP visitors and internal/external clients, email and meeting management, and travel arrangement.
Role holders may carry out tasks such as:
• Assist CEO for any ad-hoc requirements
• Assist CEO and MSS mgmt for administrative tasks such as due date control, expense management, organising schedules, maintaining diaries and making appointments
• Assist CEO and MSS mgmt for travel and accommodation arrangement
• Communite with clients on admin or logistic matters for CEO
• Co-ordinate activities, events, services and manage supplies and invoices for MSS department
• Document management including disseminating information, drafting presentations and filing
• Act as fire warden and primary point of contact for MSS area
Experience
• Minimum of 3 years of Executive Secretary's experience in an international financial firms
Skills and Qualifications
• Strong knowledge of administrative and clerical procedures
• Excellent interpersonal skills with counterparties from different cultures and backgrounds
• Deep knowledge of Japanese business manner
• Strong time management skills
• Excellent IT/PC skills e.g. Office Word, Excel
• Fluency in English both oral and written
• Proactive and self motivated person
• Have excellent communication skills, demonstrate sound work ethics, posses cultural awareness and sensitivity, be flexible and respectful, be customer service oriented
• A team player, zealous, positive and responsible
