  • Location: Paris (75008), France
  • Reports to: Operations / Office Management
  • Contract: Internship for 6 months
  • Compensation: ~€630 per month

Role & Mission

Front Office & Reception

  • Visitor Experience: Welcome visitors, partners, and candidates, ensuring a professional and smooth reception experience aligned with the company’s standards.
  • Communication: Act as the first point of contact for guests and direct them to the appropriate team members.
  • Administrative Support: Maintain accurate records and manage the biodata database for visitors, candidates, and internal administrative needs.

Office Operations

  • Office Coordination: Support the daily organization of the office to ensure a smooth and efficient working environment for all teams.
  • Mail & Logistics: Manage incoming mail, packages, and deliveries, ensuring proper distribution to internal teams.
  • Meeting Spaces: Prepare and organize meeting rooms and collaborative spaces, ensuring they are ready for internal meetings, candidate interviews, and partner visits.

Vendor & Facilities Management

  • Service Providers: Coordinate with external service providers (cleaning, maintenance, supplies, etc.) and ensure smooth service delivery.
  • Office Logistics: Support inventory management and ensure the office remains well equipped and organized.
  • Operational Support: Assist the operations team with general office management tasks and ad-hoc administrative projects.

Candidate profile

Education: Student in administration, management, hospitality, or a related field.

Organization: Strong attention to detail and ability to manage multiple administrative tasks simultaneously.

Communication: Professional demeanor and excellent interpersonal skills when interacting with visitors, employees, and partners.

Reliability: High level of responsibility and discretion when handling administrative information.

Autonomy: Ability to take initiative and ensure daily operational tasks are completed efficiently.

Languages: French and English required.
