Project Overview:

Job Summary:

The Recruitment & Mobilisation Coordinator provides administrative and coordination support across the planning, recruitment, mobilisation, onboarding, and demobilisation lifecycle of project personnel (including both direct hire and subcontractor personnel).

 

This is a high‑volume, process‑driven role requiring strong attention to detail, accuracy in data management, and proactive coordination with internal teams and subcontractors to support timely and compliant workforce recruitment and mobilisation.

Major Responsibilities:

Recruitment & Candidate Administration

  • Support candidate processing and record management in human resource management systems
  • Verify required documentation according to Project requirements
  • Coordinate candidate communications, interviews, and onboarding documentation
  • Track candidate progress through recruitment and mobilisation stages

 

Mobilisation Coordination

  • Administer mobilisation activities for direct hire and subcontractor personnel in line with Project procedures
  • Validate candidate documentation prior to mobilisation approval
  • Monitor mobilisation status and follow up outstanding requirements
  • Escalate non-compliant or incomplete submissions

 

Onboarding & Site Access Readiness

  • Coordinate induction/orientation, onboarding, and screening requirements
  • Support mobilisation readiness prior to site access approval
  • Liaise with Security for ID issuance and access activation
  • Coordinate accommodation and logistics for authorised nonlocal personnel

Other Major Responsibilities:

Subcontractor Coordination

  • Act as administrative interface between Workforce Services and subcontractors
  • Provide guidance on mobilisation systems, documentation, and requirements
  • Track subcontractor submissions against labour plans and mobilisation timelines

 

Systems, Reporting & Compliance

  • Maintain accurate, auditable records across workforce management systems
  • Ensure compliance with GDPR and data protection requirements
  • Support reporting on recruitment and mobilisation progress, volumes, and delays

 

Demobilisation & Workforce Changes

  • Process terminations, demobilisation, and rehire activities
  • Coordinate Identification return, system updates, and workforce records
  • Support reclassification and re mobilisation activities where required

Education and Experience Requirements:

  • Requires bachelor's degree (or international equivalent) and 8-10 years of relevant experience or 12-14 years of relevant work experience.
  • Experience in administration, HR coordination, or workforce mobilisation
  • Experience in construction, infrastructure, or high-volume workforce environments preferred
  • Familiarity with Human Resource Management systems is advantageous
  • Working knowledge of Polish employment documentation and onboarding practices desirable

Required Knowledge and Skills:

  • Strong organisational and administrative skills
  • High attention to detail and data accuracy
  • Ability to follow structured procedures and compliance requirements
  • Effective coordination and stakeholder communication skills
  • Ability to manage multiple priorities in a high-volume environment
  • Proficient in Microsoft Office and web-based systems
