The Regional Operations Assistant provides operational and administrative support to Regional Managers and regional teams, ensuring the efficient execution of business processes through effective coordination, accurate documentation and high-quality administrative support. This role focuses on structured processes, data management, reporting and continuous process improvement to support smooth day-to-day operations.
As the position involves daily cooperation with international colleagues and stakeholders, fluent English is essential for communication, documentation and presentation preparation. German language skills would be considered an advantage.
We are looking for: Regional Operations Assistant (Europe)
Working location: one of our offices (Zabrze, Krakow, Warsaw, Olsztyn, Bydgoszcz) or fully remote
WHAT TASKS CAN YOU EXPECT?
- Provide administrative and operational support to Regional Managers and regional teams.
- Coordinate meetings, business calendars and regional events, including preparation of agendas, meeting materials and follow-up actions.
- Prepare professional correspondence, reports, presentations and other business documentation.
- Maintain accurate records and ensure documentation is complete, up to date and compliant with internal procedures.
- Coordinate and monitor document flow, including internal approvals and reporting processes.
- Analyse data from internal systems, identify inconsistencies and support data quality improvements.
- Prepare regular reports and presentations to support management decision-making.
- Work closely with regional and international stakeholders to ensure efficient execution of operational activities.
- Identify opportunities to improve administrative processes and recommend practical solutions.
- Provide virtual administrative support across the regional organization.
- Handle confidential information with discretion and professionalism.
- Support additional operational and administrative activities as required.
WHAT SKILLS AND EXPERIENCES SHOULD YOU HAVE?
- Bachelor's degree or equivalent qualification.
- At least 3 years of experience in an administrative, coordination or business support role.
- Fluent English (spoken and written) with the ability to prepare professional documentation and communicate confidently in an international environment.
- Strong analytical skills with the ability to review data, identify discrepancies and prepare reports and presentations.
- Excellent presentation preparation and communication skills.
- High attention to detail and commitment to accuracy.
- Strong organizational and planning skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint Share Point and Teams.
- Ability to work independently while maintaining high quality standards.
- Service-oriented, proactive and solution-focused mindset.
- Ability to handle confidential information responsibly.
Nice to have
- German language skills (spoken and written).
- Experience with SAP.
- Experience in project coordination or project management.
- Experience supporting international or regional teams in a virtual environment.
- Knowledge of the Testing, Inspection and Certification (TIC) industry.
