Position overview
The Specialist, People Process & AI Automation will play a key enabling role in the transformation of how the Global People function operates by combining structured process design, continuous improvement and AI-enabled automation.
The purpose of the role is to help simplify, standardize and optimize global People processes through the application of process optimization tools, such as, but not limited to, Six Sigma, as well as the creation of practical AI agents in Microsoft Copilot Studio, or other relevant platform for agent building, that support HR services, knowledge management, process guidance, employee self-service and operational efficiency at scale
Key responsibilities
Process design and continuous improvement
- Map, analyse and document global People processes using Lean Six Sigma methodologies.
- Support process improvement initiatives using DMAIC, Value Stream Mapping, Root Cause Analysis and other structured improvement approaches.
- Identify inefficiencies, waste, bottlenecks and automation opportunities in current processes.
- Facilitate workshops with stakeholders to understand current-state and future-state processes.
- Develop process documentation, SOPs, governance models and process taxonomies.
- Support process measurement through KPIs and operational performance reporting.
AI Agent building
- Design, build, test and deploy AI agents using Microsoft Copilot Studio.
- Translate business problems into practical and well-governed AI agent use cases.
- Create agents that support self-service, knowledge retrieval, process guidance, case management and operational reporting.
- Maintain agent instructions, knowledge sources, prompts and governance standards.
- Monitor agent performance and continuously improve accuracy, usability and adoption.
- Support responsible AI practices, including compliance, security and data privacy requirements.
Digital transformation and adoption
- Partner with HR process owners to identify where AI can create measurable business value.
- Support pilots, proof-of-concepts and scaling of successful AI solutions.
- Contribute to a culture of continuous improvement and responsible AI adoption within HR.
- Create training materials, playbooks and guides for end users.
- Deliver demonstrations and workshops to HR teams.
- Help measure the business impact of AI adoption and process improvements.
Qualifications required
- 1–3 years of professional experience.
- Relevant degree in Business Administration, Human Resources, Data Analytics, Information Systems, Operations Management or similar.
- Experience, or strong interest, in process design, continuous improvement, AI, automation or digital transformation.
- Experience from a global organisation is an advantage
- HR experience is an advantage, hereunder exposure to SAP Successfactors or other HRIS
- Experience with Microsoft 365, Copilot Studio, Power Platform or AI tools is an advantage.
- Experience within process optimization is an advantage
- Exposure to Lean, Six Sigma is an advantage - Green Belt certification, or willingness to obtain one.
Skills & competencies
- Strong structured problem-solving skills.
- Ability to map, analyse and document processes.
- Basic understanding of Lean Six Sigma or willingness to learn.
- Strong interest in AI, automation and digital tools.
- Ability to build or configure AI agents in Microsoft Copilot Studio, or strong willingness to learn quickly.
- Strong written and verbal communication skills in English.
- Good stakeholder engagement skills.
- Ability to create clear documentation, SOPs, process maps and playbooks.
- Comfortable working with Microsoft 365 tools.
- Ability to work with data, process information, and user feedback to identify improvement opportunities.
