The Front-End AV Inventory & Equipment Validation Specialist is responsible for managing audio-visual (AV) hardware inventory and validating room and device readiness across enterprise collaboration environments. This role ensures accurate asset tracking, consistent equipment configuration, and reliable end-user experiences across Cisco video endpoints, Crestron control systems, and Korbyt digital signage and other workplace communications platforms. The specialist partners with AV engineering, IT operations, vendors, and site stakeholders to maintain standards, reduce downtime, and support scalable deployments.
Key Responsibilities
•    Maintain accurate asset records in the designated inventory/CMDB tool (serials, MAC addresses, firmware versions, room assignments, warranty status, RMA history, and lifecycle state).
•    Validate front-end AV equipment readiness for conference rooms, training spaces, and collaboration areas (power, cabling, network connectivity, mounting, and physical condition).
•    Perform functional validation and basic commissioning checks for Cisco room devices (e.g., endpoints, peripherals) including audio/video I/O tests, microphone/speaker verification, camera framing, and call/join tests.
•    Verify Crestron control system functionality at the user interface level (touch panels, room presets, source switching, volume/mute behavior) and confirm expected control of integrated devices.
•    Validate Korbyt player/signage device health and content playback at the endpoint level (network connection, display output, scheduling/playback confirmation) and coordinate with signage admins for publishing issues.
•    Execute standardized validation checklists for new installs, moves/adds/changes, break/fix returns to service, and post-maintenance verification.
•    Triage issues discovered during validation: capture logs/screenshots where applicable, document symptoms, and route to the appropriate resolver group (AV engineering, network, UC, facilities, vendor). Leverage monitoring/management platforms (e.g., Cisco Control Hub, Utelogy, ThousandEyes) where available to support faster isolation and escalation.
•    Coordinate with vendors/field technicians for equipment swaps, RMAs, and on-site replacement activities; ensure returned items are tracked and updated in inventory.
•    Maintain room-level documentation (as-built notes, equipment lists, labeling maps, and quick reference guides) and keep validation checklists current as standards evolve.
•    Support periodic audits (physical inventory counts, spot checks) and reconcile discrepancies with system-of-record data.
•    Contribute to continuous improvement by identifying recurring failure patterns (e.g., cable wear, firmware drift, signage player outages) and proposing preventive actions.
•    Maintain all reports and update on a timely basis. 
•    Follow change management and security practices, including handling of devices containing configuration data and ensuring proper chain of custody.
Required Qualifications
•    2+ years of hands-on experience supporting enterprise AV or unified collaboration environments (conference rooms, training rooms, huddle spaces).
•    Working knowledge of Cisco collaboration room devices (e.g., Room Series, Webex Boards, peripherals) and common AV signal flows (HDMI, USB, audio DSP basics).
•    Working knowledge of Crestron-controlled rooms from an operator/support perspective (touch panels, switching, basic troubleshooting).
•    Experience supporting digital signage endpoints and/or players; familiarity with Korbyt (or similar platforms) preferred.
•    Experience with inventory, asset management, and/or CMDB practices (asset tagging, serial tracking, chain of custody, audits).
•    Ability to execute repeatable validation procedures and produce clear documentation and ticket notes.
•    Basic networking understanding (IP addressing concepts, DHCP, DNS, PoE, VLAN awareness) and ability to coordinate with network teams.
•    Strong customer service and communication skills with the ability to work calmly in occupied spaces and executive-facing rooms.
•    Ability to work on-site and travel between buildings/sites as required.
Preferred Qualifications
•    Experience with Cisco Control Hub (Webex) device administration, monitoring, and basic diagnostics.
•    Experience with Utelogy (or similar AV/UC monitoring and management platforms) for room health visibility, alerting, and incident support.
•    Experience with ThousandEyes (or similar network experience monitoring tools) to support collaboration quality troubleshooting and network-path validation.
•    Experience with Crestron XiO Cloud or Crestron Toolbox (view-only/diagnostic usage).
•    Korbyt platform administrative experience (publishing workflows, player management, troubleshooting).
•    Familiarity with audio DSPs (e.g., Biamp, Q-SYS) at a basic verification level (signal present, mute states, routing confirmation).
•    Certifications such as Cisco CCNA/Collaboration Fundamentals, Crestron Certified Technical Associate (CCTA) or equivalent, AVIXA CTS/CTS-I, or ITIL Foundation.
•    Experience with ServiceNow (or similar) for incident/change and asset workflows.

•    Crestron tools: XiO Cloud / Toolbox (as permitted)
•    Korbyt: player management portal and content verification workflows (as permitted)
•    Documentation: SharePoint/Teams repositories, standard checklists, as-built templates
Success Metrics
•    Inventory accuracy (asset-to-room alignment, serial/MAC correctness, timely lifecycle updates)
•    Reduction in repeat AV incidents due to configuration drift or missing/failed equipment
•    Validation SLA adherence (pre-go-live checks completed on time; post-maintenance verification completed within target window)
•    Mean time to restore (MTTR) improvement through faster identification and routing of issues
•    Audit readiness (successful periodic audits with minimal discrepancies)
•    Positive room readiness/availability scores and stakeholder satisfaction
